Equipment Reservation Policies, Procedures, and Charges

Equipment in Smart Classrooms
If you are an instructor and your class has been scheduled by the Registrar in one of the smart classrooms, we recommend contacting Classroom Support at x13595 prior to the beginning of the quarter. In order to assure quality service, please let us know the equipment you will be using, course number, phone extension, department organization number, class location, dates, class start/end times for the quarter. In case of equipment failure we can contact you before your next class and make other arrangements.

Equipment for Academic Classes
Only the instructor (not TA'S, GTA's, department heads, etc.) can reserve equipment. The instructor must provide their course number, phone extension, department organization number, class location, class start/end times, and of course what equipment or services they desire. The class must be scheduled through the Registrar's Office for general classroom use. Due to scheduling procedures, equipment can only be booked for use two weeks consecutively for the quarter with one reservation for a given set of specific locations, dates, and times. Classroom Support should be promptly notified of any room changes or class cancellations.

Deadline for Ordering Equipment
There is a required 24-hour notice for ordering equipment. We strongly recommend that instructors book equipment as far in advance as possible since certain items in our inventory are booked heavily at various time during the quarter.

Pickup Equipment
Additional equipment (transpareny projectors, 35mm slide projectors, etc.) for general space smart classrooms, regardless of location, must be picked by the instructor at the Classroom Support office located in the Systems Office at Penrose Library.

Explanation of Charges
PRIORITY I:
All classes are considered Priority I for billing purposes. This means that there is no charge for using smart classroom equipment or Classroom Support's equipment for academic classes. However, the following conditions must be met for Priority I status to apply to any given class:

  1. The class must have a valid course number, attendance open to all University staff through use of a tuition waiver, and the credits gained from successful completion of the class must be applicable towards a degree-granting program (seminars, meetings, demonstrations, workshops, student events, etc. do not qualify as classes). Non-classroom-based guest lectures are considered Priority I only if attendance by the sponsoring class is mandatory.
  2. Maximum number of equipment used does not exceed four for instructor, two for students. Instructors must reserve equipment for the students. Students must have a valid student ID and instructor must submit a course number, department organization number, and instructor's signature (instructors/departments are liable for damage to equipment checked out by instructors for students for classroom use).
  3. Maximum use time does not exceed four hours.

PRIORITY II:
Priority II billing status applies if any of the above conditions are not met or if the equipment is to be used by members of the DU community or affiliated groups for purposes other than teaching a class. Classroom Support charges nominal equipment/labor fees for Priority II use. In order to qualify for Priority II status, all DU-affiliated groups or persons must provide a valid department organization number that Classroom Support can use for billing purposes.

PRIORITY III:
Priority III billing status is applied to those groups or individuals who are not affiliated with DU or who do not meet the conditions of Priority I or II status. Equipment/labor fees for Priority III are roughly equivalent to those found in commercial audio-visual rental outlets. Direct mail billing for Priority III groups and individuals is allowed but organizational transfers through the department of Conference, Meeting and Events Services is preferred.

Fine Rates
Generally, Classroom Support charges a blanket fine of $20.00 each for the following offenses:

  • Equipment requests or cancellations made after deadlines
  • Unscheduled use of equipment
  • Late or unreturned films or videotapes (per two days)
Classoom Support charges a $50.00 fine for any Food or drink in the IMML Labs each time they are found.

University College Instructors
University College needs to send Classroom Support a full listing of locations and running times of every class each quarter. Instructors need only know their course numbers in order to reserve Classroom Support equipment. Room changes and course cancellations are forwarded to Classroom Support through Paul McCarty, of University College, via e-mail. Classroom Support will notify an instructor of any room changes that will affect our ability to provide them with desired equipment.
